Job Summary:
This position isresponsible for delivering world class customer service in support of theday-to-day administrative operation of time and attendance collection andpayroll operations processing.
Maintain current knowledge of regulatory policies and procedures that govern time collection, payroll processing and taxation.
Maintains employee confidence and protects payroll operations by keeping information confidential.
Compile employee time, production, and payroll data from time sheets and other records.
Process additional pay requests from the field ensuring proper approvals before payment.
Review time sheets, wage computations, and other information in order to detect and reconcile payroll discrepancies.
Process all manual (on-line or off cycle payroll run) check issues, voids, and stop payments in PeopleSoft and bank systems. Notify business unit, tax department, and treasury to ensure proper funding requirements.
Support training and coaching of business line supervisors in payroll processes and the use of time and attendance systems.
Collaborate with enterprise and external auditor representatives for compliance reviews.
Ensure compliance with company benefit policies, enforce approved pay practices, and ensure compliance both at the state or federal levels as well as with government compliance. Performs any control self-assessments to ensure controls are regularly tested and in place for the processes, and are compliant with governmental and internal rules. Maintain internal control procedures to ensure compliance set forth by Audit Services. Including ensuring SOX compliance, segregation of duties and security access.
Supports and executes activities related to the disbursement of payroll for all employees. This includes running payroll and submission of payments via ACH/ARP, check, or pay cards.
Responsible to tie out each payroll processed to ensure all payments have been properly processed and appropriate taxes/deductions withheld as scheduled.
Provide assistance in entering and paying of all third party wages assignments.
Maintain standard work instructions for time and attendance processes including responsibilities for payroll, Human Resources and supervisors.
Keep all sector locations informed regarding payroll processing schedules and any changes that affect their location.
Respond timely to locations regarding inquiries or payroll related issues.
Analyze the reasons for payroll errors and work with managers and Human Resources and line managers to resolve issues.
Collaborate with HR Business Partners to ensure employee data changes are updated in the HRIS system.
Maintain working relationships with unions and support the changes for union dues and benefit rate changes.
Collects, reviews, and initiates void or stop payments, and payment reissuance requests, as required.
Identify and recommend opportunities for improvement and partner with the appropriate parties to test and implement new improvements.
Provide back-up support to other payroll team members as needed.
Administers calculations and processing related to pay adjustments, final paychecks, pay cards and pay differentials as necessary.
Participate and/or lead projects as needed.
Qualifications:
Minimum of 3 years payroll processing experience, preferably in a multi-state, high volume union environment.
Excellent customer service and problem solving skills, including the ability to understand and diagnose payroll processing issues.
Demonstrated experience with MS Office Suite with advanced skills using Excel spreadsheets.
Experience reconciling and auditing payroll reports for accuracy.
Familiarity with federal and state wage and tax laws.
Demonstrated collaboration, customer service and interpersonal skills along with the ability to effectively interact with a diverse group of individuals.
Strong attention to detail including the ability to review daily reports and resolve errors/issues.
Demonstrated analytical capability along with the ability to review procedures and recommend possible amendments/refinements.
Capable of handling multiple tasks while meeting the various assigned processing deadlines.
Must have excellent verbal and written communication skills.
Associate's Degree in Business, Human Resources, Accounting or Finance. Bachelor's Degree preferred.
Peoplesoft, Workbrain and/or Kronos experience is a plus.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
